Denlink Terms and Privacy

Terms

1. Eligibility

You must be at least 18 years old and authorized to represent your dental practice or business to create and manage an account.

2. Subscriptions & Billing

Denlink offers both free and paid plans. By subscribing to a paid plan, you authorize Denlink to charge your selected payment method on a recurring basis (monthly or annually). All payments are non-refundable, except where required by law. You may cancel anytime; your plan will remain active until the end of your billing period. Pricing and features are subject to change with reasonable notice.

3. Cancellation

You may cancel your subscription at any time through your account settings. After cancellation, your plan remains active until the current billing cycle ends. No refunds are issued for unused time or partial billing periods.

4. Account Ownership & Content

You retain ownership of all content you upload, including names, logos, images, and written materials. By uploading content, you grant Denlink a limited, non-exclusive, royalty-free license to host and display it as part of your public profile. You are responsible for ensuring your content complies with applicable laws and does not infringe on any third-party rights. Denlink reserves the right to remove content or suspend accounts that violate these Terms.

5. Acceptable Use

You agree to use Denlink only for lawful business purposes. You may not upload or transmit illegal, defamatory, or infringing content, attempt to gain unauthorized access to Denlink systems, or use Denlink to collect or store medical or diagnostic data.

6. HIPAA Disclaimer

Denlink is not intended to store or transmit Protected Health Information (PHI) as defined under HIPAA. Users should not enter medical, diagnostic, or treatment details through Denlink forms. The platform is designed solely to collect basic contact information (name, email, phone number, and date of birth) to facilitate appointment inquiries. If your practice requires HIPAA-compliant data collection, you are responsible for ensuring compliance independently of Denlink.

7. Security

We use industry-standard encryption and infrastructure to protect your data. However, no online service can guarantee absolute security, and you agree to use Denlink at your own risk. You are responsible for safeguarding your login credentials and account access.

8. Service Modifications

We may modify or discontinue parts of the Service at any time. If a material change affects your paid subscription, we will provide reasonable advance notice.

9. Limitation of Liability

To the fullest extent permitted by law: Denlink and its affiliates are not liable for any indirect, incidental, or consequential damages arising from your use of the Service. Our total liability for any claim shall not exceed the total amount you paid to Denlink in the 12 months preceding the claim.

10. Governing Law & Dispute Resolution

These Terms are governed by the laws of the State of Florida, United States, without regard to conflict-of-law principles. If a dispute arises, both parties agree to first attempt to resolve it informally by contacting support@denlink.io. If unresolved after 30 days, the dispute will be handled through binding arbitration in Miami-Dade County, Florida, under the rules of the American Arbitration Association. Judgment on the arbitration award may be entered in a court of competent jurisdiction. By using Denlink, you agree that all claims must be brought individually (no class actions) and that arbitration is the sole and final means of dispute resolution.

Privacy

1. Information We Collect

We collect the following information: user-submitted details (name, email, phone number, and date of birth), dentist profile information (name, practice, logo, biography, and links), payment details processed securely via Stripe, and technical data such as browser type, device, and analytics metrics.

2. How We Use Information

We use your information to provide and operate Denlink services, manage accounts and payments, communicate with users about updates or issues, and improve functionality and performance.

3. HIPAA Notice

Denlink does not collect or process Protected Health Information (PHI) as defined under HIPAA. We are not a Business Associate under HIPAA regulations. Users should avoid entering any medical, diagnostic, or treatment information into Denlink forms.

4. Data Security

Your data is stored on secure, encrypted cloud infrastructure (Firebase/Google Cloud). We implement technical, administrative, and physical safeguards to protect your data, but cannot guarantee absolute security.

5. Data Sharing

We do not sell or rent your personal information. We may share limited data with trusted service providers (e.g., Firebase, Stripe, Vercel) solely to operate the platform under confidentiality obligations.

6. Cookies & Analytics

We use cookies and analytics tools to understand usage and improve performance. You can disable cookies in your browser settings if you prefer.

7. Data Retention & Deletion

You may request account deletion anytime by contacting support@denlink.io. We may retain minimal data as required by law or for legitimate business purposes (e.g., accounting).

8. Children's Privacy

Denlink is not intended for use by individuals under 18 years old. We do not knowingly collect information from anyone under 13.

9. Policy Updates

We may update this Privacy Policy periodically. Continued use of Denlink after updates constitutes acceptance of the revised policy.
